1. Scope

This policy describes how Pickets Technology LLC collects and uses information through Pickets.ai websites, applications, communications, and related services. A separate written agreement may add terms for a brokerage, team, MLS, or other organization.

2. Information We Collect

We collect account and profile details such as name, email, phone number, brokerage, license information when provided, workspace settings, referral details, and support requests. When customers use the platform, we may process CRM records, notes, tasks, calendar events, property interests, communications, call metadata, recordings or transcripts when enabled, documents, signatures, transaction information, and content submitted through agent websites and forms.

We also collect device, log, security, feature-usage, and performance information. Payment card details are handled by our billing provider; we receive billing status and related account identifiers rather than full card numbers.

3. How We Use Information

We use information to provide, secure, support, and improve the service; authenticate users; route and record communications; process subscriptions; personalize workspace features; investigate abuse; meet contractual and legal obligations; and communicate about account, service, and support matters.

4. Customer and Client Data

Customers control the client and business data they place in their workspace. We process that data to provide the service under the customer's instructions and applicable agreements. Workspace access is limited by tenant, role, assignment, and team settings. Customers are responsible for having an appropriate basis to collect, upload, record, contact, and otherwise use information about their clients and prospects.

5. Calls, Messages, and Recordings

If calling, SMS, voicemail, receptionist, recording, or transcription features are used, we process the phone numbers, message content, call events, audio, transcripts, consent records, and suppression preferences needed to provide those features. Recording and outreach features must be used only where permitted and with any consent required by applicable law.

6. AI-Assisted Features

When a user chooses an AI-assisted feature, relevant prompts, attachments, and workspace context may be sent to contracted model or processing providers to generate the requested result. Users should review generated content and completed documents before relying on, sending, or publishing them.

7. Service Providers and Disclosures

We disclose information to vendors that help provide hosting, storage, authentication, payments, email, calling and messaging, analytics, customer support, document processing, and AI-assisted features. We may also disclose information when required by law, to protect users or the service, during a corporate transaction, or at a customer's direction. We do not sell personal information for money.

8. Connected Google Calendar

A real estate professional may choose to connect a personal Google Calendar. Pickets.ai then uses the authorized Google Calendar access only to create, update, and remove that professional's Pickets.ai events in the connected calendar and to display connection status. Calendar credentials and remote event identifiers are scoped to the individual account, encrypted where applicable, and are not shared with other workspace members. Pickets.ai does not import unrelated Google Calendar events. The connection can be disconnected at any time from the calendar or integrations settings.

9. Security

We use administrative, technical, and organizational safeguards designed to protect information, including access controls, tenant-scoped data handling, protected network transport, audit logging, and security monitoring where applicable. No method of storage or transmission is completely secure, so we cannot guarantee absolute security.

10. MLS and IDX Data

MLS listing data is processed under the applicable data-license and board requirements. We use it for authorized display, search, alert, and related product functions and apply configured attribution, disclaimer, opt-out, and freshness controls.

11. Cookies and Analytics

We use cookies and similar technologies for authentication, security, preferences, and service operation. Analytics technology may also be used when configured to understand site and feature usage. Browser settings can limit cookies, although disabling essential storage may prevent parts of the service from working.

With permission, Meta Pixel measures visits to our public website and confirmed trial starts for advertising. Meta may receive page URLs, cookie identifiers, browser information, and IP addresses. Optional ad measurement can be allowed or declined using Ad preferences in the website footer.

12. Retention

We retain information for as long as needed to provide the service, maintain security and business records, satisfy legal obligations, resolve disputes, and follow applicable customer or data-license agreements. Retention periods vary by data type and account status. Backup copies may remain for a limited period before being overwritten.

13. Privacy Rights

Depending on where you live, you may have rights to access, correct, delete, restrict, or receive a copy of personal information, or to object to certain processing. Submit a request to privacy@pickets.ai. We may need to verify your identity and will respond within the time required by applicable law. If your information belongs to an agent or brokerage workspace, we may direct the request to that customer.

14. Children's Privacy

The service is designed for real estate professionals and their clients and is not directed to children under 13. Contact us if you believe a child has provided personal information directly to Pickets.ai.

15. Changes and Contact

We may update this policy as the service or legal requirements change. The date above identifies the latest revision. Questions and privacy requests can be sent to privacy@pickets.ai.
